HalterLink is an app for running a horse program: schedules, horses, feed, tasks, documents and messages, shared by trainers, barn staff and horse owners. This page explains what we collect, why, who can see it, and how to delete it. “We” and “us” means HalterLink.
The short version
- We collect what you and your barn put into HalterLink, plus what we need to keep you logged in and send your phone alerts.
- Each barn's information is walled off from every other barn. Inside a barn, the trainer decides who sees what, and horse owners only ever see their own horses.
- We don't sell your information, show you ads, or use advertising trackers.
- Our support team sees a barn's records only when its trainer turns on support access, and never reads messages.
- You can delete your account in the app at any time.
What we collect
Your account
Your name, email address, password (stored scrambled, so nobody can read it, including us), and optionally your phone number, job title and photo.
What you and your barn add
Everything a program keeps in HalterLink: horses and their details and photos, schedules and ride times, tasks and completion photos, feed plans and check-offs, care and health records, notes, reminders, documents you upload (like Coggins, vet records, insurance or receipts), show plans and packing lists, requests, busy times, and chat messages.
Programs also add information about other people, such as horse owners' names, and contacts like vets and farriers with their phone numbers. Whoever adds someone else's information should have that person's OK to share it.
Your device
If you allow notifications, a notification address for your phone, so alerts reach it. Your login is kept on your device so you stay signed in, along with small settings like which program you last opened.
When you contact support
What you write to us, plus the app version, device type, program, plan and role, so we can understand the problem.
How we use it
- To run HalterLink: show your barn's information to the right people, send the alerts you've asked for, and keep you logged in.
- To answer your support requests.
- To keep HalterLink secure, prevent abuse, and fix problems.
- To send account emails, like password reset codes.
We don't sell your personal information, share it for advertising, or use it to show you ads.
Who can see your information
People in your program
Each program's information is separate, and people only see programs they belong to. Inside a program:
- Trainers and barn managers see the program's horses, schedule, tasks, feed, records and people.
- Staff see all horses or only the ones their trainer picks.
- Horse owners see only their own horses, and only the kinds of information the trainer shares with owners. They never see other owners.
- Messages are seen by the members of each chat. Each document has its own setting for who can see it.
HalterLink support
Our support team can look up accounts (name, email, sign-in history and programs) to help with problems. A barn's horses, schedule and tasks are visible to support only when the program's trainer turns on support access, for 7 days at a time, and the trainer can stop it sooner. Every look is recorded. Our staff never see chat messages.
Companies that help us run HalterLink
These companies handle information only to provide their service to us:
- Supabase: stores HalterLink's database and files, handles logins, and sends account emails. Data is stored in the United States.
- Cloudflare: hosts this website and the web version of the app.
- Expo, then Apple or Google: deliver phone alerts. An alert's text passes through them to reach your phone.
- Google Fonts: supplies the fonts on this website, so Google sees the address your browser connects from.
When we add a company to this list, we'll update this page.
When the law requires it
We may share information if the law requires it, or to protect the safety of people or the security of HalterLink.
How long we keep it, and deleting it
- Your account: delete it anytime in the app under More → Account & Program → Delete My Account. That removes your login and profile. Things you added to a program, like messages, notes and documents, stay with that program so its records stay complete, but they're no longer linked to you.
- A whole program: its trainer can delete it, which removes its horses, records, documents and photos.
- Leaving a program: you can leave a program anytime, unless you're its only trainer.
Deleted information can stay in our backups for a short time before it's gone for good. A record of what HalterLink staff do is kept for security.
Keeping it safe
Connections to HalterLink are encrypted. Database rules keep each program's information separate and enforce who can see what. Photos and documents are stored privately and shown only through short-lived links. Staff access needs a second sign-in step and is logged. No system is perfectly secure, but we work to protect your information and will tell you if a problem affects it.
Your choices
- Update your name, phone and photo in the app.
- Turn alert types off, set quiet hours, or mute horses in Notification Settings, or turn off notifications on your phone.
- Delete your account in the app.
- Ask us for a copy of your information, or ask anything about this policy, at support@halterlink.com.
Depending on where you live, you may have more rights over your information. Contact us and we'll help.
Children
HalterLink isn't meant for children under 13, and they shouldn't create accounts. A parent or guardian can use HalterLink on a young rider's behalf.
Changes to this policy
If we change this policy, we'll update the date at the top. For important changes, we'll also tell you in the app or by email.
